Keep key receipts, inspection notes, forwarding-address delivery, and every deposit statement.

Four to eight weeks before leaving

  • Read the notice, renewal, move-out, cleaning, elevator, and key-return provisions.
  • Send notice through the required method and keep proof.
  • Request written move-out instructions and any pre-move inspection available in your location.
  • Compare current condition with move-in photos and the original checklist.
  • Schedule movers, utilities, mail forwarding, insurance changes, and building access.

Separate damage from ordinary use

Security-deposit rules and definitions of ordinary wear vary. Focus on documenting facts rather than deciding the legal result yourself.

  • Report active leaks or unsafe repairs instead of hiding them.
  • Remove your belongings, adhesive residue, and trash.
  • Do not repaint, patch, replace fixtures, or perform repairs beyond the lease and written management instructions.
  • Keep receipts for authorized work and cleaning.

Final condition record

  • Photograph every wall, floor, ceiling, window, appliance, cabinet, fixture, closet, balcony, and storage area.
  • Capture appliance interiors and model condition.
  • Record meter readings where tenants are responsible and access is permitted.
  • Ask the manager to sign or email confirmation of the walkthrough and key return.
  • Send the forwarding address through a traceable method.

After possession ends

  • Save the lease, move-in and move-out media, notices, receipts, and correspondence together.
  • Compare any itemized deductions with your evidence and local requirements.
  • Dispute errors calmly in writing and ask for supporting invoices or records where applicable.
  • Use official local tenant resources or qualified legal help before withholding money or filing a claim.
